Section 11.13 Home Deliveries/Interstore Deliveries
The purpose of this section is to ensure that products delivered for customers upon their request, are received in a condition that does not compromise food safety and integrity.
The Store Manager is responsible for ensuring that all delivery staff are adequately trained in this procedure and for the update of this document when required.
Store management and delivery personnel must be aware that groceries purchased by the customer are still the responsibility of the store until accepted by the customer. As a result, the store is responsible for any thawing of frozen or refrigerated stock or general damage or contamination, until the products have been delivered and accepted.
Home Delivery – Store Procedure
Once the customer has nominated that they require a home delivery, the check-out person must ensure that the frozen and refrigerated stock is separated from general grocery items, and that non-food items are separated from food packages in separate bags.
Service staff must immediately call for support personnel to transfer the general grocery stock to a respective holding location or directly to the delivery vehicle.
All bags of goods are sealed by tying the bags by the handles and identified, either by marking each bag or a sticker. Name, address and no. of bags (i.e. 1 of 4, 2 of 4, etc) is recommended, along with any other relevant details. The register support personnel must complete all details and organise the storage or transfer of goods immediately. It is the responsibility of cashier supervision to ensure prompt service with register personnel and that the above transfers are carried out without delay.
Frozen and refrigerated stock is placed directly into an insulated cool storage container such as an Esky. This container is held in an area in the freezer, allocated for home deliveries, until the delivery occurs or is placed in the delivery vehicle for immediate delivery if requested.
For first time deliveries and problem customers, the delivery person must ensure that they contact the customer prior to leaving to ensure that someone is at the destination to accept the groceries. This is recommended at the Store Manager’s discretion.
Once the delivery is organised, then the groceries are loaded into the delivery vehicle in a fashion that prevents damage during transit.
All Areas: Interstore deliveries
The purpose of this section is to ensure that products delivered to other Drakes Supermarket sites are received in a condition that does not compromise food safety and integrity. The following procedure relates to the transportation of pre-packaged and carton meat products to other sites within our business. No unpackaged meat or carcasses are transported.
The Store Manager is responsible for ensuring that all delivery staff are adequately trained in this procedure and that this document is updated as processes and procedures change.
The originating store is responsible for the condition of refrigerated stock until the products have been delivered and accepted.
Procedure
- Where a store has placed an order, the order will be processed/packed and labelled in the meat room. The orders are packed into crates specifically marked for a specific store. Each species of meat product is packaged separately into crates to avoid cross contamination.
- The orders are stored in the coolroom until delivery.
- Once the stock is organised, the cold delivery is loaded into the vehicle in a fashion that prevents damage during transit and is held within the required temperature.
- Before leaving to conduct a delivery, the delivery driver checks that the temperature of the vehicle is within range and verifies the cleanliness. The time of departure is also documented on 45A –Outwards/Interstore Delivery Record.
- The delivery driver will complete the delivery to the site specified on the order.
- The temperature is then taken again at receival and documented on Form 41 Inward Product Receival Record. The receiver also signs off on form 45A –Outwards/Interstore Delivery Record.
- If there is any delivery that is out of temperature specs it is not unloaded from the vehicle and is marked to go back to the home store and disposed of.
- Delivery drivers conducting deliveries must hold a current driver’s license. A copy of the driver’s license is to be kept in the Employee Profile, as well as at Head Office
- A copy of each week’s delivery records is filed at store level in the foodsafe folders.
The vehicle is cleaned out once per week with a high pressure guernie using the Dominant cleaning chemicals as specified on the Drakes Chemical Register.
If there has been any leakage on any delivery the truck us cleaned before reloading another delivery.
The delivery driver is trained in documenting temperature/ truck cleanliness.
